Privacy statement
What we do with your data, in plain language. In short: we collect as little as possible, we don't track you and we don't sell anything on. This is a translation of our Dutch privacy statement; in the event of any discrepancy, the Dutch version prevails.

01Who we are
Squared Media is a trade name of Mik Development and Mursee, both registered with the Netherlands Chamber of Commerce (KvK). Together they are responsible for the processing of personal data through this website and in the course of our services.
Questions about privacy? Email [email protected] or call +31 6 24 54 44 93.
02What data we process
We only process data that you give us yourself or that is needed to make the site work:
- Contact: your name, email address, phone number and whatever you write to us when you email, call or message us on WhatsApp.
- Appointments: your name, email address and any notes you add when you book an introductory call through the calendar.
- Chat with Square: the messages you type in the chat on the homepage.
- Clients: company and contact details, billing details and the information you share with us in tickets and projects.
- Technical: your IP address, browser and the time of your visit, in the server logs of our hosting provider.
We never ask for special categories of personal data, and we have no need for them.
03Purposes and legal bases
- Answering your question and scheduling an introductory call: at your request, prior to a possible contract.
- Carrying out our work and invoicing: because it is necessary for the performance of our contract with you.
- Keeping our records: because the law (the statutory tax record-keeping obligation) requires us to.
- Keeping the site secure and working, including preventing misuse of the chat: on the basis of our legitimate interests.
04Cookies and analytics
This site does not use tracking or advertising cookies, nor any analytics tools. So we do not follow you around the internet and we do not build a profile of you.
Your browser may, however, store a few functional settings locally, such as your display preference. These stay on your own device. If you book an appointment through the built-in calendar, Cal.com may place its own functional cookies for that feature.
05Who we share data with
We never sell your data. We only engage parties that are needed to run the site and our services:
- Vercel: hosting of the website (server logs).
- Cal.com: the calendar you use to book an introductory call.
- Anthropic: processes chat messages sent to Square so that he can reply. We do not store the conversations ourselves.
- Mux and Sanity: video playback and management of the content on the site.
- WhatsApp (Meta): only if you choose to message us there.
- Our email provider, accounting software and accountant, for communication and record-keeping.
Some of these parties are based outside the European Economic Area, mainly in the United States. We only work with parties that provide appropriate safeguards, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses. Where required, we conclude a data processing agreement.
06How long we keep data
- Contact and appointment details with no follow-up: up to a maximum of two years after the last contact.
- Client and project data: for as long as we work together and for two years thereafter.
- Invoices and accounting records: seven years, as required by law.
- Server logs: for as short a period as our hosting provider applies, usually a few weeks.
07Security
We take appropriate technical and organisational measures to protect your data, such as encrypted connections (https), two-factor authentication on our accounts and access only for those who need it. Notice something that doesn't seem right? Let us know straight away.
08Your rights
You have the right to access your data and to have it corrected or erased. You can also object to processing, have it restricted, or request your data in a commonly used file format. Send your request to [email protected]; we will respond within one month.
If we cannot resolve the matter together, you can lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
09Changes
We update this statement when our working methods or the law change. The date at the top shows when this was last done.
